Department: Fox Select Vacations (FSV), Appleton, WI
Job Title: Group Travel Event Resources Coordinator
Job Classification: Hourly, non-exempt
Reports To: Department Manager
Schedule: 8:00 a.m. to 5:00 p.m., Monday - Friday
Job Summary: Responsible for entering group data and maintaining online booking engine (Groupminder) for inventory and pricing display online. Coordinate and prepare documents for groups and assist in all FSV operations.
Typical Work Conditions: Work is performed in an office environment, with regular direct interaction, via conversation, phone, fax and computer, with supervisor, co-workers and both internal and external clients.
Typical Physical Demands: Regularly use computer, phone and office equipment. Regularly sit, stand, stoop, reach and move around office to complete clerical tasks. Occasionally, lift boxes weighing up to 25 pounds from floor level to work-area level. Occasionally, travel to and from domestic and international destinations, via air, cruise, rail, or tour bus.
Essential Duties and Responsibilities:
- Enter and maintain group inventory into Groupminder including uploading photos and entering inventory quantities, itinerary and package details and predetermined pricing
- Assist with troubleshooting, maintenance and inventory adjustments in Groupminder system
- Coordinate materials, produce and assemble customized documents for all group departures
- Assist with agent calls regarding bookings into group space and manage payments on those bookings
- Assist with writing of copy/content to be sent to Creative Services for flyer and brochure requests and (when FSV Manager is not available) provide final proofing of printed materials
- Communicate to/with FWT accounting regarding cancellations and pricing adjustments
- Compile tour evaluation data as requested by the FSV Manager and the VP of Vacation Sales
- Prepare and distribute various communications including but not limited to surveys and document night invitations
- Assist with formatting and preparation of client proposals
- Answer calls and monitor web email and queues to take bookings on group space
- Assist with the monitoring of group blocks for reduction dates, deposits and final payment dates, and update inventory as needed
- May be requested to accompany groups as a support staff member. Not a primary responsibility
- Assist with finalizing group accounting with vendors to determine and send final net payments or to determine amount of commission or overpayment due to FSV
- Reconcile preliminary accounting reports with the group database to ensure they are accurate with regard to sales and payments
- Assist co-workers with the day-to-day operations
- Participate in training on vendor products as requested
- Perform other duties as assigned

Qualifications:
- Have previous domestic and international vacation travel sales or group travel experience
- Have domestic and international travel experience
- Have experience using the internet, and be proficient in MS Word, Excel, Access and Outlook
- Possess intermediate-level keyboard (typing) ability
- Possess or be able to obtain a U.S. Passport
- Experience with basic web development, graphic design and html code necessary
